For the past few months, we focused on strengthening the foundations: scheduling at scale, permissions that protect your workflows, and data management that matches the needs of enterprise TA teams.

Permissions That Protect Your Processes

We’ve expanded our Roles & Permissions framework so larger organizations can scale Grayscale usage with confidence.

You can now define:

  • Who can view, edit, and send messages
  • Who can trigger automations
  • Who can manage scheduling workflows
  • Access by role, location, or business unit

Data Retention Controls

We’ve introduced new admin controls to help with compliance and data hygiene.

You can now:

  • Set automatic expiration policies for candidate conversations
  • Choose how long messages are stored before being auto-deleted
  • Align retention rules with your organization’s data policy or local regulation

A Cleaner View of What Matters

We also made improvements to Grayscale’s Integrations Settings UI – giving teams a faster, clearer way to manage which systems are connected, how data flows, and who has access.

One of our most requested features – now live.

What it does: You can now combine the calendars of multiple recruiters or hiring managers and let Grayscale dynamically assign bookings in a round-robin format.

What it’s for:

  • Screening teams that handle thousands of applications
  • Hiring manager pools in large regions
  • Shared interview loads across shifts, departments, or locations

It works across invite links and automation flows, and makes it dramatically easier to scale high-volume scheduling without bottlenecks.

Flexible Reschedule & Cancel Flows

We’ve given both recruiters and candidates better control of the interview rescheduling process.

What’s new:

  • Recruiters can reschedule or change attendees directly from Grayscale
  • Candidates can self-service reschedule or cancel – across any event type
  • Full visibility of updates, confirmations, and conflicts

This reduces back-and-forth, improves show rates, and respects everyone's time.

Configurable Registration Windows

Some roles need to be filled immediately. Others need a bit more breathing room.

Now you can:

  • Set minimum and maximum registration windows per event
  • Prevent interviews from being booked too far out – or too soon
  • Align scheduling timelines with hiring urgency and candidate expectations
