HotelSync — Product Changelog

Winter Update · February 2026


Brand update

We’ve officially rebranded from OTASync to HotelSync.

This change reflects our stronger focus on hotels and professional hospitality operations.
That said, we continue to fully support Vacation Rentals through our partner network and dedicated sub-brands — nothing changes for existing users.


New system rollout

The new HotelSync system is now available in beta.

Starting March 2nd, it will become the default version for all users.

What to expect:

  • Significantly better performance
  • Faster daily operations across all core workflows
  • Cleaner, more intuitive UI/UX
  • A modern, future-proof interface built on the latest technology standards

The new system is designed to reduce friction, clicks, and load times — especially for front desk, finance, and management teams.


What’s new

User access & permissions

  • Granular permissions for Settings: control access per individual setting (not just full access vs none), aligned with report-level permissions.
  • Personal account access: every user can manage their own account settings regardless of General Settings permissions.
  • Improved user assignment: clearer selection of channels, rooms, and rate plans, with an option to automatically assign new items.

Rooms & reservations

  • Financial Room introduced and refined: a dedicated room type for financial operations (payments, transfers, adjustments) that stays out of operational reports and is excluded from OTA/BE and guest registration.
  • Split-room safety: when splitting a stay within the same room, the first split segment is now locked to prevent errors.
  • Date validation: checkout date can no longer be set before check-in.
  • Rooming list: printable rooming list from reservations (guest name, room, arrival/departure), optionally sent together with invoices.

Rate Plans / Restrictions

  • Improved Rate Plan period setup: In the rate plan settings datepicker has no more the year, only day/month
  • Showing affected Rate Plans: When the restriction plans are updated in the prices/restrictions

Payments, advances & invoicing

  • Multiple advances supported (Croatia & Montenegro).
  • Smarter defaults for final invoices: payment method now auto-matches how the advance was closed (cash/card).
  • Payment Report: a new dedicated report with filters by date type, payment method, sales channel, and detailed vs summarized view.
  • Invoice improvements:
  • Agency Invoice and Property Invoice note types
  • Optional display of invoice creation and fiscalization date/time
  • Improved formatting when showing both company and property addresses
  • Custom invoice footer support
  • Separate invoice address settings (company vs property)
  • Added OIB/PIB fields for invoicing (HR-specific)

Automated emails & communication

  • Custom email body: add a custom message when sending invoices, pre-invoices, or reservation confirmations.
  • Payment link control: optional checkbox to include a payment link in reservation confirmations.
  • Smarter {PAYMENTLINK} logic: payment amount now follows the strictest applicable cancellation policy (unless manually overridden).
  • Automatic report emails improved: missing multi-property selection options have been added.
  • Rental Activity auto-emails: now use the same selection logic as the report itself.

Reporting & analytics

  • Board Report upgrades:
  • Filter by Reservation ID
  • Option to include all guests (not only overnight guests)
  • Sorting options for automatic Board reports (room, name, date)
  1. No-show report: now includes Reservation ID.
  2. Occupancy report fix: “Out of sale” appears only when all rate plans or restrictions are closed.
  3. Availability (Room) report: toggle between real availability and inventory released for sale.
  4. Statistics: ADR is now available as a standalone view.
  5. Country Revenue Report: added sales-channel filtering.
  6. Payment & revenue reports: improved date-based filtering (issued vs fiscalized).

Logs & audit trail

  • Housekeeping extras logging: extras added via the Housekeeping app are now logged.
  • Out-of-order tracking: logs now clearly show which room was affected when “Out of Order” status is removed.
  • Fiscalization events added to logs.
  • Improved service tracking: better linking between services and reservation-room records.

Expenses & inventory

  • Expenses module reworked:
  • Split into Expenses and Recurring Expenses
  • Clear creation/editing rules for one-time vs recurring
  • Additional filters (Room ID, “Expenses for”)
  • Default view now shows the previous two weeks
  • Inventory usage synced with invoicing: adding an inventory item to an invoice now correctly reduces stock and reflects in reports.

Multiproperty

  • Guests “Buildings” view: view and export all guests across all properties from a single screen.
  • Dashboard statistics fixed: multiproperty toggle now correctly reflects stats across all accessible properties.
  • Channel deduplication: merged channels by type in multiproperty statistics.
  • Exports improved: currency column added to avoid ambiguity across mixed-currency portfolios.

Exports

  • Reservation exports: added a column for cancellation reason.
  • Guest exports: Excel export enabled.
  • Extras exports: Excel export enabled with full metadata.
  • Multi-currency clarity: all relevant exports now include currency information.

Booking Engine

  • Custom confirmation message:
    In Settings → Booking Engine → Confirmation Step, you can now fully customize the confirmation message:
  • Rich text editor (links and basic styling, no code)
  • Fully translatable via Settings → Languages
  • Replaces the previous fixed message on the Booking Engine

Guest registration & compliance

  • eTurista (Serbia): guest registration automation improved using Marketplace profile mapping.
  • Villa property fix: Villas now report to eTurista as Hotels instead of Apartments.
  • Guestbook bug fixed: returning guests now correctly show all stays.

Integrations & marketplace

  • New modules added: Demand Booster and Orchestra Payments.
  • Webhook Messaging API introduced.
  • Channel Manager improvements:
  • Automatic omnichannel app activation
  • Support for price-per-person rate plans
  • Improved handling of mandatory extras and insurance
  1. Croatia fiscalization: operator OIB is now managed per user profile.
  2. New integrations: Moj-Račun (Croatia Fiscalization 2.0 partner), Info Link (ERP)
  3. IPS support: payment reference handling for Serbia and Croatia.
  4. Greek Fiscalization: Greek Fiscalization is active and live in production with many users already oinboarded.
  5. Semantic POS Integration: Integration with Greek POS company for two-way sync when guest wants to send his F&B to his room on HotelSync
