Back with an update on recent features!

Highlights

  • ⌛ [The big one!] Hourly rate auto-sync: Instead of having X Movers + Y Trucks charges, we can now collapse them into ONE dynamic hourly charge tied to crew size
  • 👬 Movers can pick who worked on each part of a job from the Bill of Lading – simplifying the close out process
  • 📂 You can now right click a job and open in a new tab – making it quicker to quickly reference several jobs at once
  • 🔍 You can now search jobs by invoice or bill of lading #

Hourly Rate Auto-Sync

❓ Why we built this

Previously, hourly charges in Chariot were configured like this:

  • 1 truck and 3 movers
  • 1 truck and 4 movers
  • Etc.

For hourly movers, when creating an estimate, they would:

  • Set the crew size from the "Work Times" section
  • Select the corresponding crew-size charge from the charge list (or an estimate template)

And on the Bill of Lading, crews would following a similar flow: add their work times, set the hourly charge, and make sure everything matches up.

We love flexibility at Chariot -- so you can still do this. But for the majority of cases we wanted to make this much easier.

In short:

From the office, you can add / sync hourly rates to estimates that auto-tie to the crew size. Even create auto-syncing templates!

From the mover side / BOL, the mover can tie their work times to an hourly rate -- auto-generating the correct hourly charge in a new "hourly charges" section.

Movers can pick who worked from BoL

❓ Why we built this

Previously movers filled out the overall times on the BoL. When viewing the job Results, Chariot would "pull through" who worked on the job based on who was dispatched.

But what if who worked wasn't who was dispatched? What if someone leaves the crew early or joins part way? We wanted to make it easier for movers to put in this information -- saving time for the office after the move.

💡 How it works:

When adding a work time to the BOL, the mover can add which movers specifically worked. Chariot will auto-fill the team with who was dispatched to start. The BoL shows who worked too!

In the office, you'll see who specifically worked on each time from the Results tab.

Right-click jobs and open in new tab(s)

❓ Why we built this

Previously in Chariot, there wasn't an easy way to open multiple jobs in one quick go -- for example, to view several jobs from the leads dashboard, or several jobs from a payroll report.

💡 How it works:

Right click a link job in Chariot, and you can open it in a new tab!

🤔 Keep in mind:

Keeping too many old tabs of Chariot open at once can impact Chariot's performance. It's best to close the tabs when you're done with them!

Search jobs by invoice or bill of lading #

💡 How it works:

If a customer pays you and only references a Bill of Lading or invoice number, you can now find in jobs in Chariot by searching those numbers.

Other updates

  • The Archive pages in Chariot now all filter and sort properly
  • The format of job titles in G-Cal sync are now customizable! Reach out if you'd like us to edit these for you.
  • We can now remove the estimate / charges from the work order form that gets printed in Chariot. Reach out if you'd like this!

Highlights

  • Chariot now shows the last time a customer viewed their estimate
  • Moving companies can accept ACH (bank transfer) payments through Chariot
  • The mover schedule now clearly shows multi-truck/ crew jobs
  • You can now move jobs to other tracks on the schedule by clicking instead of dragging

See last time the estimate was viewed

💡 How it works:

When you view the “Estimate” tab for a job, the header now shows you the last time the customer viewed the estimate – you can use this information to inform next steps.

The last viewed time is also visible on the “Quick View” of the job.


ACH (bank transfer) payments

❓ Why we built this

Some customers – especially commercial customers with larger bills – may prefer to pay by Automated Clearing House (ACH). ACH payments are standard business practice in many industries and have lower processing fees than cards.

💡 How it works:

Office side (ON by default if you're enrolled in payments): When clicking “New Payment”, you will see the option to charge by ACH. You can enter the customer’s bank details and charge them accordingly.

Customer side (OFF by default: contact Chariot to turn on): For payment links and invoices, customers will have the option to pay by card or by ACH.

🔍 The finer points

  • Cost: The processing fee for ACH transactions is 1%, capped at $10 per transaction (same as quickbooks). See Chariot’s fee disclosure for more details.
  • Timing: ACH transactions can take several days to process and since reversals can occur, they are paid out to the moving company 5 days after the transaction.

Mover schedule shows multiple crews

💡 How it works:

Previously, if I was a mover assigned to a multi-truck/ crew job, I would only see my truck / crew on the job schedule.

Now, Chariot shows all the crews / trucks assigned to the job. The mover’s name is bolded so they know which (sub) crew they’ll be working with.



Click to move a job to a different track

💡 How it works:

From the job schedule, click on a job. In the pop-up that appears, re-assign the track from the top right (then save).

You can still drag jobs to re-assign them to tracks, but the click option may be useful for larger moving companies and/ or on mobile devices.

Angi Integration

💡 How it works:

Movers that get leads from Angi can now set up an integration so that new Angi leads flow directly into Chariot. This should cut down on manual data entry and speed up intake /booking for these leads.

Survey (estimate appointment) notifications

💡 How it works

When a survey (estimate appointment) is scheduled, Chariot automatically emails the office user and/ or sends an in-app notification. This is already turned on!

Adjust Users that Show on the Office Calendar

💡 How it works:

When using the office calendar, each user can check/ uncheck the office users they want to see to declutter their view.

💁 Pro tip

To view all jobs and events on one page, view the Office Calendar by “Type” (of event) and toggle on the “Collapse Columns” feature.


Other Updates

  • When an auto-saving Bill of Lading is complete, movers now see a clearer button / option to go to the payments screen
  • When adding movers to a work time (on the Results) tab, Chariot now filters out movers that were inactive as of the work date.
  • We implemented a setting that allows movers to see “Reserved” (not booked) jobs on their schedule. Contact us if you’d like this turned on.

Auto-saving, Single Page Bills of Lading

💡 Why we built this:

Before, Chariot’s e-BoLs were split onto 2 screens for pre and post-move agreements. Saving requires clicking “next” or “back” on these screens. We found a single-page BoL with both sections would be easier to review, and that automatic saving would reduce the risk of losing work.

🔍 How the new interface works:

The BoL is a single-scrolling page. Changes save in “real-time”, with a saving notification in the top-left. Chariot also now informs users when they are offline (meaning changes will not save).

🏃 How to get started

We are converting all BoLs to this format in the coming weeks. Our team will update you as we start to convert your BoLs.


Improved crew schedule

💡 Why we built this:

We wanted to make notes and jobs on the crew schedule easier to review and make key job details clearer.

🔍 How the new interface works:

The upgraded schedule:

  • Splits out the “Default Crew Notice”, “Daily Notes”, and “Track-level notes” distinctly
  • Has more condensed job “events” for the movers, with clearer visuals for key details
  • Shows arrival time/window and estimated duration (instead of estimated start time and end time from the job schedule)


Separate Office and Crew (“General”) Notes

💡 Why we built this:

We received feedback that many moving companies would like a separate notes field for their crews, so they can provide just what crews need to know vs. all of the details relevant for office users.

🔍 How it works:

  • There is now a new “Office Notes” field that will only show to office users
  • There is a General (Crew) Notes field that will show to office AND mover users
  • We also added visual indicators showing with of these notes show to the movers and/ or the customers for easy reference

“Quick publish” leads with less info

💡 Why we built this:

We know that when potential customers call in, they often dive right into details of the move that don’t necessarily match the “Create new lead” form in Chariot. We wanted to make creating a new lead faster, more flexible, and less mistake-prone.

🔍 How it works

  • When you click “+ New Lead”, the new form only requires (1) a name and (2) a phone number or email
  • Jump right into the “job details” page and proceed as you wish!


Collapsable week view

💡 Why we built this:

The week view of the job schedule was not easily viewed on smaller screens and for larger movers with more jobs.

🔍 The “Collapse” feature

In the top right of the week view, click “Collapse” all. It will condense the jobs on the page, allowing you to see more at once.

🔮 What’s coming

We often get feedback on the week view and have some ideas to keep improving its usefulness. Reach out if you have feedback/ ideas to share!


Other updates

  • The “Short Summary” on leads/ job has been extended to 70 characters and will prevent users from going over this limit
  • Reserved leads now show on the crew schedule if you assign movers to them (don’t want them to see it? Use the “hide job” feature).
  • The upgraded job “crew page” now displays no matter how you get to this screen (including g-cal links and directly texted BoL links)
  • We can now customize the text that shows above the Chariot web form (“Request a quote”) for each moving company. Reach out to support@chariotmove.com if you’d like this customized!

Product Update: New, Improved Mover Interface!

💡 Why we built this:

Movers are often switching between tasks. For example, when finalizing the bill, they might want to check the details of the customer’s estimate.

The previous mover interface was not optimized for this switching, causing extra clicks and occasional confusion.

🔍 How the new interface works:

The new interface is more like an “app”, with tabs that movers can switch between on the fly. It also includes a payments screen that can be accessed at any time to see the current balance and initiate a payment.

🔮 Where this is going

Based on your feedback, we plan to release several crew updates in the weeks ahead:

  • Updated schedule interface, with clearer notes, easier-to-read job previews, and clearer arrival times
  • Single page BoLs that save automatically, to prevent unsaved changes and create a smoother experience.
  • Dynamic hourly charges tied to work times, meaning hourly charges are generated automatically based on crew size / hours.
  • Time clocking, allowing movers to mark each phase of the move, to automate tracking billable and non-billable time.

Product Updates: QR Code Payment Link & Hide/Unhide Job Events from Crew

QR Code Payment Link

Why We Built This:

We've introduced a QR Code Payment Link feature to allow another option for customers to pay.

How It Works:

Now, from the crew side, you can generate a QR code linked directly to the payment details. Customers can conveniently scan this QR code using their own devices, instantly accessing the payment link.


Hide and Unhide Job Events from Crew

Why We Built This:

We've introduced the ability to hide job events from movers. When a job is hidden, it remains on the schedule but is not visible to movers.

How It Works:

Navigate to the job events section, where you'll now find the option to hide or unhide jobs. When a job is hidden, movers won't see it in their schedule, allowing you to manage the jobs without affecting the overall workflow.


Additional Features

Offline Icon for Crew on BoL

  • When a crew member goes offline while using the BoL, an offline icon will now appear in the header indicating their offline status. Once back online, the icon will disappear automatically.

Be able to send text password reset link to mover or office user

  • Now, when initiating a password reset, users have the option to receive the reset link via text message.

Clearing signature when an estimate is resent

  • If you resend an estimate to a customer, the signature is cleared so it’s more clear to the customer that they must resign the document.

Worktimes: input hours and minutes of time off instead of decimal

  • When logging time worked in the Worktimes section, you now input hours and minutes directly instead of decimals of an hour.

Product Update: Crews Can Text “On the Way” and “Arrived” Messages

Crews now can text customers that they (1) are on the way and (2) have arrived. More details are below!

💡 Why we built this:

  • On move day, customers like to know that their movers are on the way.
  • When customers don’t know if movers are on the way, they often call the moving company office – leading to unnecessary admin time.
  • When movers arrive at the origin to start their work, sometimes customers are not ready – leading to confusion or delays regarding the start time.

🔍 How it works:

  • From the crew page for a job, movers will see a “Text Customer” button
  • When they click this button, they’ll see 2 options for texts to send:
  • Chariot shows a preview of the message before sending. The mover can click “Send” to send the text / SMS.
  • From the office, you can see the sent texts via the Texts screen

🚀 How to start using this:

  • Users with a Chariot role of Owner or Manager can turn this feature on from the Settings screen, under “Enable/ Disable Feature”

🔮 Where this is going

  • In the coming weeks, expect more improvements / additions to the crew experience that will make it easier for crews to access their schedule, fill out their bills of lading, and log times.
  • As part of this, we expect to integrate time tracking with these text messages (for example, when starting a move, suggest an “on the way” text).
  • We’ll also be adding the ability for a crew member to add an ETA to the “on the way” message.
