Peppol E-Invoicing Becomes Mandatory in 2026 – Wello Keeps You Compliant

Hi , We want to let you know about an important change coming in 2026 that will affect how businesses across the European Union send and receive invoices. The good news? Wello is already working on a simple solution so you’ll be ready without needing to do anything extra.

What’s Changing?

From January 1, 2026, businesses in the EU will no longer be allowed to send invoices as PDFs or on paper for business-to-business (B2B) transactions. Instead, invoices will need to be sent in a digital format called Peppol, which is an XML format.

This change is part of a new EU rule to make invoicing more consistent and easier to process for both businesses and governments. With this new format, invoices can be read by software and tax systems automatically—no need for manual handling.

The new rule will apply to:

  • Businesses based in EU countries
  • Invoices sent to other businesses within the same country

It doesn’t apply to B2C (business-to-consumer) transactions, and not all international companies are included. But if your company is based in the EU and you send invoices to other businesses, this change will likely affect you.

How Wello Will Help

To make this easy, Wello is adding support for Peppol e-invoicing directly into our Invoice Module. Starting in October 2025, you’ll be able to create Peppol-compliant invoices in the same way you create invoices today—right from your existing Wello workspace.

You’ll still be able to send invoices as PDFs for your records or your clients’ convenience, but Wello will also generate the required Peppol XML version in the background, so you stay within the new rules.

There’s no need to sign up for anything new, no outside tools to manage, and no extra steps. We’ll take care of the changes so you can keep working the way you always have.

A Quick Look at the Invoice Module

If you’re already using the Wello Invoice Module, you know how simple it is to create invoices based on service contracts or work orders, time worked, and parts used. You can send invoices to your clients, issue credit notes when needed, and track everything in one place.

If you haven’t tried it yet, this might be a good time to start. The module is easy to use and helps you keep your billing clear, fast, and under control—plus, it’ll be ready for the 2026 changes.

What’s Coming Next

Later on, between 2028 and 2030, the EU also plans to introduce real-time reporting. That means businesses will need to send invoice data directly to tax authorities as soon as the invoice is issued. This isn’t required yet, but it’s something we’re already keeping in mind.

As always, Wello will keep things simple. We’ll share updates as they come and make sure the tools you use grow along with the rules.

Powerful Search Filters at Your Fingertips

Quickly narrow down the invoices you’re looking for with filters like:

  • Document Type: Invoices or Credit Notes.
  • Date Draft Created: Track drafts by creation date.
  • Source: Manual, Work Order, Contract, Sales Order, etc.
  • Invoice Status: Open, Paid, Credited, Canceled.
  • Additional Filters: Service Area, Account Name, City, Invoice Number, and more.

👉 Tip: Want to see all paid invoices? Just set the Invoice Status to Paid and hit Apply.

Customize Your Invoice Grid View

Make the module work for you with flexible grid options:

  • Select Columns: Show only the data you need.
  • Row Group Invoices : Organize Invoices by columns data.

Sales Order

In today’s fast-paced business environment, efficiency and precision in managing sales orders are crucial for staying competitive. Companies across various industries are increasingly turning to advanced technological solutions to streamline their sales order processes, ensuring smoother operations and enhanced customer satisfaction.

Within Wello, a Sales Order can be created for:

  • ERP Integration: Collect data and send it to an ERP system for picking, packing, shipping, invoicing, and warehouse management.
  • Quick Shipment: Collect data for quick shipment of parts to a customer without detailed warehouse management. Wello generates the invoice once the parts are shipped.

Differences between sales order on the Wello portal and the Wello Sales App:

  • ERP Configurations: Configurations of seasons and collections come through the ERP; the portal does not allow viewing or configuring them.
  • Order Management: The portal allows changing status, removing, and changing the quantity of articles.
  • Basket Management: Adding articles to the basket created on the Sales app is allowed, but no logic is applied; users are responsible for adding and setting prices.
  • Service Sales Orders: The portal can create and manage its own orders, mainly targeting service sales orders.

Quotes

This CRM suite will be enhanced with a new quote module scheduled for release later this year. The module will feature a "feed" pane similar to those in sales orders and invoices, ensuring seamless customer communication. Users will be able to create multiple quote templates to provide tailored documents to their customers. Additionally, quotes will be easily convertible into various types of work orders or sales orders.

BC365 & LSCentral connector

In a major leap towards enhancing operational efficiency and connectivity, our latest update brings a powerful new feature to our native connector for BC365 and LSCentral. This update introduces the ability to send approval PDF files directly from Wello to BC365 or LSCentral, streamlining approval workflows and ensuring seamless business processes.

Introducing the Updated Wello Field Service App

in our February 2024 Product Updatе! Bracе yoursеlvеs for a fеaturе-packеd rеlеasе introducing a brand new Wello UI app, and the expansion of new features.

In line with our recent rebranding efforts, we've updated the Field Service App's user interface. Now, when you launch the app, you'll be greeted with the Wello logo. While the login screen's design is largely unchanged, it now features our new logo and incorporates our fresh theme color.

To complete the update, the app icon for all operating systems (Android, iOS, Microsoft) has been refreshed with the new Wello logo.

Allow to browse documents of location of the work order

Any document linked to the location of the work order was not visible directly on the Application. There was a need to show any document linked to the location that is useful for the technicians who work on the equipment of that location.

For more complete tree structures of locations and equipment, we simplified the visibility of the documents by indicating how many and which documents are linked to that specific location, to avoid any confusion.

Updated Feature for Custom Fields Control: File Attachment and Signature controls

Forms play a vital role for technicians and the organization. Recognizing that the current formbuilder lacks certain desired features, we have introduced the option to attach files to forms. These attachments will also be visible in the form's PDF version.

Enhanced Signature Feature for Forms

Recognizing the importance of certain values configured in forms, we've added a new control that allows technicians to place signatures on each section of the form. This ensures the accuracy of the values entered. These signatures will also be displayed on the final PDF file of the form.

Allow to add extra information at the settings screen

For some time, our system has enabled the creation of custom fields for users, primarily for use in forms or for ERP integration mapping. We've now expanded this functionality. Users can view these custom fields, or extra information, directly on the settings screen under the "Extra Info" section.

Exciting news! We're thrilled to announce that our first beta has been moved to production and is now available for everyone to use!

Customized Work Instructions:

We've added a new feature to Odyssee Field Service that allows you to customize service models according to your work instruction template. You can choose to apply changes to all active service models or create a customized instruction list. Click here to learn more about it.

Work Order Type Archive:

We added the ability to archive WO types with a complete assistant that checks and presents action to be taken before archiving.

Selecting Installation for Service Models:

With our latest update, you are able to select individual installations for service models. This will allow you to select for example just a parent without selecting all its child installations. You are still able to choose to select by group which works as before.

Enhanced Work Order Visibility:

We've added a new toggle that allows you to view all work orders for the installation and its child installations. The grid now also includes new columns for equipment name and equipment type, providing you with more comprehensive information

We hope that these new features and improvements will help you manage your field service operations more effectively. As always, we welcome your feedback and suggestions to help us improve our product.
