Hi there,
Here is your October 2025 product updates for Luminous! September came and went - and with it, a bunch more stuff has been completed and (mostly) released! (a few are being rolled out slowly but coming very soon to everyone).

As I always say on these - note this does not include links to help docs although some may exist, while others are actively being worked on. Be sure to search our help center for specifics and ask in the chat here if you need assistance beyond that.

Now, on to the updates!!


Priority lists and sales‑order control

  • Apply customer‑set priority list to sales orders. Luminous now honours a customer’s fulfillment priorities when sales orders are created—both manually and through integrated channels. This means the fulfilment order (FO) distribution for a sales order automatically follows the customer’s preferred priority sequence regardless of other fulfillment defaults.
  • Add fulfillment priority list selection to sales orders. Sales orders can now store an explicit fulfillment priority list, allowing teams to choose which list governs FO creation. If no list is selected, Luminous falls back to the global “smart fulfilment settings” priority, with a hierarchy of SKU → client/customer → sales channel → global default.
  • Priority list override at the customer account. Administrators can assign a default priority list to a customer account. This overrides the global setting and ensures that all new sales orders from that customer use the chosen list.

Invoice templates and custom‑field cascades

  • Front‑end invoice templates. The invoice templates feature has been moved from the “Invoice Settings” area to the Manage → Templates screen. This makes it easier to configure and reuse invoice layouts while also supporting our full suite of custom template tools and capabilities.
  • Custom field cascade down to invoice. Luminous’s custom‑field system now cascades business‑account custom fields not only to sales orders but also to invoices. When a user creates an invoice for a business account with custom fields, those fields pre‑populate in the invoice’s “advanced settings” and remain synced to the sales order once the invoice is saved.

Credit‑memo enhancements and QuickBooks integration

  • Credit‑memo QuickBooks sync. Luminous has introduced a reason‑based credit‑memo system with QuickBooks product/service mapping. Administrators can define credit‑memo reasons (each with a default QuickBooks item) and manage them. The system only syncs applied credit‑memo amounts to QuickBooks, preventing over‑application and ensuring accurate accounting. It also logs applications and includes an audit trail, pagination for reason details, and bulk sync operations.

Tags and custom‑field inheritance

  • Cascade tags down to sales orders. New sales orders automatically inherit tags from the client, channel and any order‑specific tags. Duplicate tags are avoided, and the hierarchy prioritizes client tags first, then channel tags, and finally order‑level tags.
  • Cascade custom fields from business accounts to sales orders. When a sales order is created and a business account is selected, Luminous auto‑populates custom fields with that account’s defaults. Users can re‑apply defaults later and choose whether to overwrite edited values. There is no back‑propagation—updating a business account does not alter existing orders.
  • Add custom fields to fulfilment orders (FOs). FOs now support custom fields independent of their originating sales orders. On creation, FO custom fields clone from the sales order once, but subsequent edits are independent. FOs can include shipment‑specific details (e.g., pallet dimensions, carton counts, handling instructions) and set precedence so FO custom fields override sales‑order values when pushing data to 3PLs/OMS.

Inventory and reporting

  • Inventory aging report. A new inventory aging report leverages remaining quantities on cost layers to provide more accurate inventory aging metrics.
  • Estimated ship‑date grouping. Reports and dashboards can now group by estimated ship date to help prioritize outbound shipments.

Returns, assemblies and other workflow improvements

  • Manually create return orders from a sales order. Users can create return orders directly from a sales order view to handle exchanges and returns more flexibly. Scenarios include return with refund, return without refund, and refund without return. Return support will continue to expand, much more to come!
  • Bulk add form for assembly orders. A new interface allows users to bulk‑add assembly orders, streamlining production planning and reducing repetitive data entry when multiple products need to be produced.

These September updates give Luminous users finer control over order priorities, tagging and custom‑field inheritance, improve QuickBooks integrations and reporting, and introduce key workflow enhancements for returns and assemblies.

Another month down! With August under wraps, we have another massive batch of product features and updates to share with you.

Without further ado... Here is a summary of the August 2025 Luminous product updates:


Cost‑layer and Bill-of-Material insights

  • Cost layer breakdown per SKU (PC‑380). A new cost‑layer Analysis button on the "Costs" tab gives a clear breakdown of how each cost layer contributes to the cost of a specific SKU and identifies potential adjustments and corrections.
  • Extra cost lines on BOMs (PC‑330). Bills of materials now support “Extra Cost” line items, and those costs flow automatically into assembly orders.
  • BOM component receiving for assemblies (PC‑314). Assemblies can now be completed by receiving individual components, improving inventory accuracy.

Orders, packing and picklists

  • Customizable purchase orders & CSV export (PC‑354, PC‑365). Purchase orders now support HTML templated layouts and can be exported as CSV files for analysis or sharing.
  • Enhanced picklists and packing slips. Packing slips can be exported directly from fulfilment orders (PC‑329) and now support “lot” and “lot ID” variables (PC‑377). There’s generic picklist display across sales and fulfilment orders (PC‑343) and the ability to create picklists from fulfilment orders linked to a sales order (PC‑342).
  • Packing‑action support for picklists (PC‑344). Picklist packing actions now support both sales orders and fulfilment orders.
  • See lot‑assigned lines in a fulfilment order (PC‑369). A new view shows all line items with lots inside a fulfilment order.

Fulfilment & logistics

  • Scheduled stock push and buffer (PC‑368, PC‑367). You can now schedule a once‑per‑day stock update to connected channels and apply a percentage buffer in addition to an absolute buffer to reduce overselling risk.
  • Push shipments to 3PLs (PC‑366). PO Shipments can now be sent as inbound shipments or ASNs to 3PLs and external WMS systems.
  • Fulfilment order list improvements (PC‑341). The list page now displays indicators and details for the many relationships and fulfillment statuses.
  • Exclude SKUs from auto‑FO creation (PC‑336). You can skip certain SKUs when automatically creating fulfilment orders from sales orders when individual items are fulfilled via a fully external method (like "fulfill with Prime" on Shopify)
  • Wave and channel settings (PC‑326, PC‑325). Wave picking for fulfilment orders can be configured by channel with batch of settings to manage the FO throughput to fulfillment channels, and automatic FO generation can be managed per channel.
  • Export packing slips from fulfilment orders (PC‑329). Users can export packing slips directly from the FO module for faster warehouse processing and only include the FO, not the full sales order.
  • Lot and lot‑ID variables on packing slips (PC‑377). Adds lot identifiers to packing slip variables.

Assembly & production

  • Bulk assembly order creation (PC‑328). When lots are present, users can create multiple assembly orders from the sales grid without selecting a lot; orders are created as drafts for later review.
  • Estimated ship‑date grouping (PC‑323). Reports can now group data by estimated ship date, helping prioritise shipments.

Inventory & integration

  • Depletion summary API (PC‑334). A new endpoint provides depletion summary data for reporting.

These updates provide deeper cost visibility, more flexible order and packing workflows, improved fulfilment and logistics options, and several small quality‑of‑life improvements. More detailed documentation for each feature will be added to the Luminous Help Center.

Hi there,

I know many/most of you have been looking for more frequent updates regarding new feature releases, system changes, and general product improvements. FINALLY, here is a quick (or not-so-quick) update of many changes over the last 2 months!! I'm sure you've run into a bunch of these but maybe others are new to you and worth checking out or asking for more info. Note this does not include links to help docs although some may exist, while others are actively being worked on. Be sure to search our help center for specifics and ask in the chat here if you need assistance beyond that.

Without further ado... Here is a summary of the June/July 2025 Luminous product updates:

Purchasing & Custom Fields

  • Custom fields in purchasing. Luminous now lets you associate custom fields with more parts of the purchasing process – they can be added to supplier purchase orders, assembly orders and even exported in the supplier purchase order export file. This gives teams more flexibility when tracking bespoke data.
  • Module association for custom fields. Developers added the ability to associate custom fields with specific modules. This prepares the way for more granular reporting and automation down the road.
  • Pending‑inventory allocation improvements. When allocating inventory to fulfilment orders, Luminous now uses the fulfilment order’s warehouse group rather than the sales order’s warehouse group. This helps prevent accidental allocation to the wrong warehouse.

Sales & Order Management

  • Refund management enhancements. The Sales Order view now includes a Refund Orders tab, and users can create a return/refund order directly from Shopify returns/refunds activity. These changes streamline post‑sales processing.
  • Line‑item improvements. Sales order lines now show line numbers and any associated custom fields. An actions menu has been added with a set from historical data option, making it easier to update line‑item details.
  • Picklist changes. You can now edit existing picklists by adding or removing orders, and picklists cannot be created for orders that lack both a warehouse group and a fulfilment order. Sales orders generated from transfer orders automatically push to third‑party logistics (3PL).
  • Transfer orders. A new view lets users see transfer orders (not just edit them). This visibility helps managers track stock movement between locations.
  • Sales channels and tags. Sales channel settings now include an invoice‑creation trigger tied to fulfilment order creation, and line‑item views display LUM product tags. Channel management now supports “channel types” and related configuration settings.

Inventory & Cost Management

  • Inventory reconciliation report (the "Stock Snapshot"). A new Inventory Reconciliation Report has been added with start‑ and end‑date filters, giving finance teams more control over the reconciliation period.
  • “On‑water” inventory value. The purchase order shipment report now includes the on‑water value of inventory—useful for understanding goods in transit and updating financial forecasts.
  • Optional inventory location on channel push. When pushing stock levels to sales channels, you can specify an inventory location. This is handy for multi‑warehouse businesses.

Fulfilment & Automation

  • FBA/AWD inbound reconciliation. Luminous can automatically match and reconcile inbound shipments from Amazon Warehousing & Distribution (AWD) to Fulfilled By Amazon (FBA), saving time when processing inbound shipments.
  • Auto‑create shipments. For shipments containing multiple sales orders, Luminous will automatically create the shipment and update the related fulfilment orders and inventory.
  • Transaction‑status tracking. The system now tracks the last transaction status and error details for app integrations, making it easier to identify integration issues.
  • Auto assembly automation rule. A new rule automatically assembles products when items are received, reducing manual work.
  • Smart Fulfilment Automation notifications. You can configure notifications and alerts for Smart Fulfilment Automation settings, ensuring important events don’t slip through the cracks.
  • Fulfilment channels and push/un‑push operations. Luminous now supports dedicated fulfilment channels and allows you to push or un‑push fulfilment orders to those channels.
  • Fulfilment priority list. A new priority list (with an accompanying video) lets teams control the order in which fulfilment tasks are processed.
  • Enhanced fulfilment order grid. The grid now has expandable line items and improved shipping‑carrier updates. You can also set custom fields on line items when updating a sales order.

Integration & Accounting

  • QuickBooks invoice sync updates. Several improvements have been made to the Invoice × QuickBooks Online sync process, helping ensure financial data stays in sync.
  • CRM contact capture. When orders are imported into Luminous, the customer contact/client is now automatically saved to the CRM, reducing duplicate data entry.

User‑Interface & Miscellaneous Improvements

  • Complex filters on Sales Order Grid. The front‑end grid now supports complex filter functionality via SO Grid. Users can apply multiple criteria to quickly narrow down data.
  • Expand/collapse all on the sales order grid. Added controls allow users to expand or collapse all sections in the sales‑order grid.
  • Action menu for historical data. An action menu lets you populate data based on historical information—a useful shortcut for repetitive tasks.

And Many, MANY other slight fixes, improvements, bug fixes, etc...

Maintenance update

🚨 ShipStation API Update – Action May Be Required 🚨

As of May 8, 2025, ShipStation has changed API access based on subscription tier.

  • Scale-Gold, Accelerate, or higher-tier plans have access to both V1 and V2 API endpoints.

This may affect order syncing in Luminous for users not on the supported plans. If you’re seeing issues with orders not pulling in, please contact ShipStation support to confirm your plan includes the necessary API access.

🚚 Smarter Fulfillment Automation

Set precise rules for how orders are split, consolidated, and fulfilled.

  • Order Consolidation Toggle: Create a single FO if one warehouse can fulfill the whole order.
  • Line Item Splitting Toggle: Allow splitting items across multiple warehouses.
  • Partial Fulfillment Threshold: Skip warehouses that can’t meet a minimum % of line item quantity.

  • Always Create Fulfillment Orders: Always generate FOs, even when stock is insufficient.

🧪 Lot Tracking on Fulfillment Orders

Select specific lots (manually or automatically) and split quantities across lots when fulfilling.

Expanded ability to fix inventory issues

🔁 Delete & Re-push Fulfillment Orders to Channels

Take manual control of syncing Fulfillment Orders to channels like 3PLs or ShipStation. You can now delete a fulfillment order from Luminous in order to make adjustments and push again. (be sure to communicate with your 3PL as it won't make changes to their system.)

🔁 "un-reconcile" inbound shipments

Much easier to correct issues or mistakes - undo the reconciliation with an inbound shipment (ASN) and redo it. Must not already have goods in receipt.
