1/6 ⏰ 🙋 📄 Time Tracking Tips, Updated Web Form and more!

Hi there,

Happy New Year! The Chariot team has been hard at work as the clock turns from 2024 to 2025 – read on for new tools like Time Tracking tips, Estimate Signature Workflow changes, and more!

  • Bill of Lading x Time Tracking assistance – Movers will now see context-specific banners to ensure accurate Time Tracking and Bill of Lading completion when on-site.
  • Web Form Updates – The requested move date now appears on the first page, and leads are auto-submitted as soon as customers click ‘Next’ on the first page. Note: this vertically expands the embedded quote form by one row, so please check your website to ensure that the form is still shown properly.
  • Clearing digital estimate signatures when details change – When job details that impact already-signed digital estimates are updated, customer signatures will be cleared from the digital version to avoid confusion. Customers can still access the signed PDF for reference to the signed version.
  • Ordered Review Links – You can now specify the ordering of review links in Chariot’s Review Request flow.
  • Add distinct crates (and other items) to an inventory with unique dimensions – If you add an inventory item’s dimensions, it will add the dimensions to the name of the item. This allows you to easily add multiple versions of the same type of item – like crates of different sizes – to the same inventory. It also makes it easier to see (via the inventory list) the dimensions of crates that need to be built for a job.
  • Request Photo Uploads from Customers (announced last week) – your customers can now upload photos to Chariot! From the Actions menu, click Request Photo Uploads and your customers will get a notification to upload photos for their move. Uploaded photos will appear in Job > Inventory, and you can set up notifications for uploads in Settings > Notifications. You will need to turn these notifications on if you'd like to receive them.

⏰ Time Tracking Tips

❓ Why we built this

To help movers completing Time Tracking and a Bill of Lading in case they forget key steps.

💡 How it works

Movers will now see context-specific banners to ensure accurate Time Tracking and Bill of Lading completion. Note: these changes are only relevant for Chariot customers with Time Tracking enabled.

  • If a Time Tracking has not been started, movers will see a reminder to begin one before opening the Bill of Lading.

  • If a Time Tracking is in-progress, a banner confirms it’s linked to the Bill of Lading

  • If a Bill of Lading is open without an active Time Tracking, movers will be prompted to start a Time Tracking.

🙋 WebForm Updates

❓ Why we built this

To maximize lead submissions and streamline the customer experience.

💡 How it works

Chariot customers using the Chariot Short Form will see two changes:

  • The requested move date now appears on the first page
  • Leads are auto-submitted once the customer clicks ‘Next’ – even if they don’t finish the full form (this previously happened after the 2nd page of the form)
  • Users will still be able to continue filling out the form
  • Note: this vertically expands the embedded quote form by one row, so please check your website to ensure that the form is still shown properly.

📄 Digital Estimate Signature Clearance

❓ Why we built this

To ensure that signatures on digital estimate pages only are present for the version of the estimate that the customer signed.

💡 How it works

If you change an estimate after a customer has signed it, their signature will be cleared and they’ll be notified that the estimate has been updated from its original.

From the office side, you’ll see this banner on the Estimate page. You can choose to resend the customer the estimate (it won’t happen automatically). Here is an article covering Modified Job Stages.

Your customers will see this banner on their digital estimate, which will revert to an unsigned state.

  • Add an item (like a crate) to a job's inventory

11/13 🚀 🎉 Chariot Product Update: Mover Role Management 2.0

Happy Wednesday! We’re excited to introduce Mover Role Management 2.0 – a set of updates that give you more flexibility when assigning movers to jobs, viewing capacity by role on the schedule, controlling mover permissions, and managing payroll data right in Chariot.

Role Management and Per Job Roles will be available in your account by default – contact us (support@chariotmove.com) if you want to turn on Capacity by Role and Pay Rate Configuration + Reporting.

Quick summary (highlights below ✨👇):

  • Per Job Roles – Assign movers to jobs with different roles as needed (i.e., John Smith can be a Driver on Job A and a Helper on Job B).
  • Capacity by Role – On the Schedule, easily view the number of available resources by role (e.g., 6 Drivers and 12 Helpers).
  • Role Management – Change permissions (e.g., “Can access BoL” or “Can send mover texts”) for your movers directly in Chariot.
  • Pay Rate Configuration + Reporting – You can also configure default pay rates for roles in the new Role Management page and for movers (which would override the default role rate) in Resources > Edit Movers, allowing you to more easily measure payroll costs and reporting directly within Chariot.
  • Custom Badge Colors – Customize the colors of your role badges!

Per Job Roles and Capacity by Role

❓ Why we built this

We know that movers often need to have different roles on different jobs – you now have the flexibility to assign, communicate and track that in Chariot.

💡 How it works

  1. Movers will continue to have a default role
  2. However, now, when you assign a mover to a Track or to a Job, you’ll also be able to change their role (at the Track level or on the Job itself) by clicking the badge and selecting a role from the dropdown.
  3. Please note: the Capacity by Role feature is opt-in only – reach out to support@chariotmove.com if you’d like us to set it up for you!

Role Management

❓ Why we built this

There are many crew features in Chariot and we understand the importance of providing access to those features to the right movers at the right time.

💡 How it works

Users with the role of “Owner” will have access to a new tab in Resources > Role Management and will be able to update permissions, change role badge colors and assign default pay rates.

Reminder – roles themselves are customizable, just reach out to us and we can help you out!

Pay Rate Configuration and Reporting

❓ Why we built this

Having all of your data in one place is always helpful, so we’ve added the ability to configure pay rates and view basic payroll reports in Chariot. We have more payroll management features coming soon, so stay tuned!

💡 How it works

  • You can configure default pay rates for roles in Resources > Role Management or configure pay rates for movers (overriding default role rates) in Resources > Movers > Edit Pay Rates.
  • Please note – Pay Rate configuration is opt-in only, reach out to support@chariotmove.com if you’d like us to set it up!
  • Pay rate data will show up in Reports in the Time Worked by Mover and Time Worked by All Movers reports, showing you a mover’s hours, rate and total pay for a given job.

November Chariot Recap 🦃 🥔 🍠: Customer Reviews report, Bulk Hide / Unhide jobs, and ‘Last Notified at’ on Notify Crews

Here’s a quick recap of all the new features and tools we rolled out in the 2nd half of November – details below!

  • Customer Reviews report – you can now see all your reviews in one centralized view!
  • Bulk Hide / Unhide jobs – Update job visibility for crewmembers in bulk, making it easier to plan your job assignments in advance! (more below)
  • ‘Last Notified at’ in the Notify Crews pop-up – Easily see if you’ve already notified crews about their job(s) for the day so you don’t accidentally message them multiple times (or forget if you messaged them)
  • Improved request Customer Review flow – Updated the last step of the flow to better guide your customers to post reviews on sites like Google and Facebook.
  • Mover Role Management 2.0 – Enhanced tools like Role Management, Per Job Roles and Pay Rates Reporting to help you more effectively manage your crew operations in Chariot. Reminder: please reach out to us (support@chariotmove.com) if you want to turn on Role Capacity and Pay Management for your account! More information here.
  • Dimensions in inches – Enter inventory item dimensions in inches (instead of just feet).
  • Icons for payment statuses and balance due vs. paid – Added icons to display payment statuses and a new field to show you the amount paid vs. due on a job, right next to the payments table.
  • Added Closed and Deleted storage CRM views – Added tabs in the CRM to view storage jobs that are Closed or Deleted.
  • Recurring icon for storage invoices – Added an indicator to the invoices table on storage jobs so that you can tell which invoices are generated from a recurring invoice schedule vs. one-off.

Customer Reviews Report

❓ Why we built this

The Request Review feature allows you to more easily collect customer reviews, but there was previously no place to see all of your completed and incomplete reviews in one place.

💡 How it works

  • Go to Reports > Customers > Reviews
  • You’ll be able to view all customer review activity here – filtering for dates and submission status (submitted, requested, not requested)
  • Submitted = customer has submitted a Chariot review.
  • Requested not Submitted = a review request has been sent to the customer, but they haven’t yet submitted a review.
  • Not Requested = a review request has not been sent to the customer.

Bulk Hide / Unhide Jobs

❓ Why we built this

Chariot’s Bulk Hide / Unhide feature allows you to plan out moves further in advance without making all schedule details visible to your movers, but until now this had to be done one job at a time. This update allows you to hide and unhide multiple jobs with just a few clicks.

💡 How it works

  • Go to Job Schedule > Day > Actions > Bulk Hide / Unhide
  • If a job is checked → it is hidden
  • If a job is unchecked → it is unhidden
  • Make sure to click ‘Save’ after clicking ‘Confirm’ to save your changes

Last Notified on Notify Crews

❓ Why we built this

In Chariot you can notify crews about their job assignments via text, but what if you’re not sure if you sent them the notification yet? What if you only want to message the new movers you’ve added last minute? This feature helps you (and your dispatchers) easily see if a crewmember has been notified about their job for the day.

💡 How it works

Go to Job Schedule > Day > Actions > Notify Crews, and you’ll see new the feature showing you if you a mover has already been notified for their job(s) on that schedule that day or not.

12/20/24: Request Photos from Customers, View Track Availability in the Week View and more!

Sharing one of our last updates of the year – see the highlights below and keep reading for details ⤵️

  • Request Photo Uploads from Customers – your customers can now upload photos to Chariot! From the Actions menu, click Request Photo Uploads and your customers will get a notification to upload photos for their move. Uploaded photos will appear in Job > Inventory. Reach out to us (support@chariotmove.com) to get early access to this feature.
  • Crew Availability in the Week View – view crew availability on the Week view when scheduling jobs, so you don’t have to flip back and forth between the day view and the week view to confirm moves for customers.
  • Preview Estimate – view a preview of what your estimate looks like for your customers from the Estimate page with one click.
  • Added Sales Owner to the Quick View – the job Quick View now displays the Sales Owner for each job.
  • Source in Lead/Job Tables – added a Source field to the leads/jobs table.
  • Notifications for Failed Storage Auto-payments – added a notification for failed auto-payments for storage jobs (to turn it on, go to Settings > Notifications > Recurring Payment Failed).

📸 Request Photo Uploads from Customers

❓ Why we built this

To make it fast and easy to collect photos from customers for purposes of estimates and move prep.

💡 How it works

  1. From the Actions menu, click Request Photo Uploads
  2. Your customer will receive a notification prompting them to upload photos for their upcoming move
  3. Photos will show up in the Job > Inventory page
  4. You’ll receive a notification when a customer uploads a photo (coming soon)

You can also embed this link in your automated email and text templates so that it fits right into your existing customer communication workflows (e.g., you could include it in a pre-move confirmation email).


📅 Week View Groups Jobs by Track

❓ Why we built this

To allow office users to more easily see availability across each week when scheduling or re-scheduling a job.

💡 How it works

When you’re in the Week View, you can now easily see availability by track without needing to toggle back to the Day View.


👀 Preview Estimates with One Click

❓ Why we built this

To make it easier to see the current estimate with fewer clicks (previously needed to click “Show Summary” → “View Estimate” or “Send Estimate” → “Preview”)

💡 How it works

Navigate to the Estimate page, and click the new Preview button to see what your customers will receive.

Happy Friday! We’ve made some recent updates to help you track your marketing efforts, more clearly navigate the crew experience, and easily view work time details in Bills of Lading on mobile.

Quick summary (highlights below ✨👇):

  • Pass UTM tags into Chariot and analyze leads by marketing campaign source – you can now pass UTM tags (marketing campaign unique identifiers) into Chariot via the Chariot quote form and pull reports showing which leads/ jobs can be attributed to your marketing campaigns. Reach out to us and we’ll happily walk through the set-up with you! We can also work with your marketing/SEO teams/partners
  • Clean-up of work times on BoL – cleaned up the Work Times table on Bills of Lading to improve readability on smartphones.
  • Menu labels in Crew experience – added labels (in addition to icons) to make it clear to movers what each tab does.
  • Moved customer-facing notes and attachments on estimates – the customer-facing notes and attachments sections, if present, are now directly beneath the introduction section on all estimates to ensure that customers don’t miss important details you share with them about move day.
  • “Full Job Export” report update – the Full Job Export report now contains one row per job (it previously had multiple rows for jobs with multiple trucks or days) to help users avoid double-counting jobs in their analyses.
  • Non-textable phone numbers – landlines and non-textable numbers now display a note to clarify why you can’t text them through Chariot.

UTM Tag Support

❓ Why we built this

We’ve added UTM tagging support to allow movers to track the performance of their marketing campaigns directly from Chariot reporting. By passing these tags into Chariot, you can gain insights into which specific campaigns, sources, or channels are driving leads and conversions, enabling you to analyze and optimize marketing efforts.

💡 How it works

  1. Decide on the UTM parameters you’ll use to track your marketing efforts. Common parameters include utm_source (e.g., Google, Facebook), utm_medium (e.g., email), and utm_campaign (e.g., FallSale).
  2. Append the chosen UTM parameters to the URLs that link to your Chariot quote form. This typically might look like: https://yourdomain.com/quote?utm_source=google&utm_medium=cpc&utm_campaign=holiday_special
  3. As leads fill out the quote form via UTM-tagged links, Chariot automatically captures and stores the UTM information.
  4. Once set up, use the Full Job Export report to understand which channels and campaigns are performing best.

We improved the mobile layout of the Work Times table on the Bills of Lading to support better readability for crew members and customers.

11/1 ⏰ 🔐 Chariot Updates – Customer Review Notifications, Any Case Usernames and more!

Hi there,

We’ve added notifications for new Customer Reviews (email or in-app) so that your team can know as soon as a customer submits a review in Chariot – you can turn this on for any office user in Settings > Notifications.

Reminder – if you’d like us to set up Automated Reviews or point customers to 3rd party sites (like Google) as part of the Review flow, reach out to support@chariotmove.com and we’ll get you set up.

Also new 🔽

  • Usernames can be lower or uppercase – no more auto-capitalization login errors! So if your username is freddykruegerFreddykrueger or FreddyKrueger or FREDDYKRUEGER will still work when logging in 👻 🧙 🟠
  • Leads by Source charts update – Realtor, Referral and Other sources are now grouped together in the Home screen chart (and in Reports > Leads by Source by Month) instead of breaking them out by the specific source detail (for example, Realtor – Name). The detail is still accessible in the Full Job Export and Jobs by Source reports.
  • New “XTRA” tag for Multi-Stop jobs – Previously jobs with extra stops had a “MULTI” label on the schedule (as in multiple stops). We updated this label to “XTRA” as some users thought “MULTI” was referring to multi-truck jobs.

10/21 🗒️ ✍️ Time-stamped Notes + More!

Hi there,

We’ve rolled out Time-stamped Notes (“Notes Log”) which allows office users to log job updates (call history, sales updates, etc.) in one place for easy reference.

Also new 🔽

  • Timeline Activity Billing Indication – When your crew uses Time-Tracking, they now see which activities count towards the hourly rate.
  • Sales Owner in Job Result Charges report You can now associate specific charges with sales owners, for example for calculating commissions.
  • Time Worked by All Movers – Pull a report showing you time worked across ALL of your movers, making payroll-related exporting simpler. This will allow you to pull a report for a time period (e.g., 2 weeks) and export all mover hours-worked and tip data to your payroll system / provider.
  • Fixed Google Maps bug that sometimes caused travel time to appear as “00:00”

Notes Log

❓ Why we built this

To date, Chariot notes fields have been static, meaning users can’t view when a note was created. Additionally, because all notes were stored in a single field, important updates were at risk of being overwritten.

💡 How it works

  1. On the Job > Intake page, toggle between Description and Notes Log in the top right corner
  2. Switch to Notes Log to access the new Timestamped Notes experience
  3. Each time a note is added, the exact time and user is added
  4. Look for the blue badge to know if (and how many) timestamped notes are available

Visual Indicator of Billable Activities for Time Tracking

❓ Why we built this

We understand that managing time-tracking and the Bill of Lading, on top of other move day responsibilities, can be challenging for crewmembers. This update helps simplify that process by visually indicating which timeline activities contribute to the billable hourly rate.

💡 How it works

Crew members will now see an icon next to each activity, showing whether it’s billable or not.

Happy October! The leaves are falling here in New York, and we’re excited to drop some long-awaited feature updates for you. Take a look at what’s new below, and as always, feel free to reach out if there's anything we can improve.

What’s new 🔽

  • Auto-book Reserved Jobs: Once a customer signs an estimate and pays a deposit (if required), jobs that have been reserved on the schedule will automatically move to the Booked stage. (details below ⤵️)
  • Generate a Packing Materials PDF: Generate a PDF of a day’s packing materials directly from the Schedule page (via the Actions button) to help streamline your move day preparation process. (details below ⤵️)
  • Disable Discount Button on BoLs: You can disable the + Add Discount button on Bills of Lading to prevent movers from offering discounts that don't align with your policies. Reach out if you'd like this turned on. (details below ⤵️)
  • Cancel On-Hold/Postponed Jobs: Move jobs in the On-Hold or Postponed stage directly to Canceled without needing to move them to Booked first, keeping your job list organized and up-to-date.
  • Inactive Movers in Time-off Requests: Inactive movers will no longer appear in the Time-off Request workflow, making it easier to manage active mover schedules without errors.

Reminders 🔽

  • If you want to set up Automated Reviews for your account, please reach out! All Chariot accounts now have access to send review requests from the Job > Actions menu, but we can also turn on an automated trigger for your account to send these requests automatically the day after a job is closed.
  • Early data shows that 35% of customers complete the Chariot review request!
  • You can now view customer reviews directly in Chariot as well on the Job > Results page:

Auto-booking Reserved Jobs

❓ Why we built this

We’re always focused on streamlining your operations and reducing manual steps in the job booking process. If a job is reserved on the Job Schedule and a customer signs an estimate, that job will be booked automatically (vs. requiring additional steps to book).

💡 How it works

  • If you have a lead Reserved on the Job Schedule, the job will automatically move to Booked once the customer signs the estimate and pays any required deposit.
  • Customers will receive an estimate-signed confirmation as well as the booked confirmation notification.
  • This feature is on by default – reach out to us and we can disable it for you if needed.

Generate Packing List PDF

❓ Why we built this

We know that pulling together the materials you need for a day’s jobs can be difficult and time-consuming – this feature allows you to generate a list of packing material needs (based on your job estimates) for a day in one click.

💡 How it works

On the Schedule > Day View page, click “Actions” then Print Packing List. This will open a PDF in another webpage that you can then share or print. The list is based on any charges from the estimate that have a category of “Packing” or “Materials.”

Disable Discount Button on BoLs

❓ Why we built this

We know that move days are hectic and we’ve received a lot of feedback about removing the ability for movers to provide discounts without office approval.

💡 How it works

  • Contact us at support@chariotmove.com or through the Support chat
  • We’ll turn the setting on for specific mover roles or users
  • Movers won’t be able to access the “Add Discount” button on BoLs

Authorized users will have to add any discounts on the office side in Results or by opening up the BoL (Results > BoL Actions > Open Digital BoL).

9/23 🎉 ✏️ Chariot Updates: Introducing Automated Reviews!

We’re super excited to introduce Automated Reviews today, which will allow you to easily request reviews from your customers, all within Chariot. Also sharing a couple other smaller updates, including new Drag and Drop Functionality on the Schedule and the ability for Office Users to Mark a Job as Confirmed. Please reach out if you’re interested in getting early access to the Automated Reviews feature!

Automated Reviews

❓ Why we built this

We know how important customer reviews are to your business and we want to make collecting reviews as simple and effective as possible.

💡 How it works

  • You can send a review request via email and/or text from a job’s Actions menu in Chariot.
  • We can also set Chariot up to automatically send review requests to customers after a Job is moved to Completed (Open or Closed)
  • If a review is above a certain number of stars (for now, 5 out of 5), customers will be prompted to share a review to Google or any 3rd-party sites you’d like.

Please reach out to support@chariotmove.com and we’ll get you set up! Please include:

  • (1) which 3rd party sites + URLs you want to send customers to to repost their review
  • (2) your preferred timing for sending the automated review request after Jobs are moved to a Completed stage – the default will be at 10am the day after a Job is moved to a Completed stage, but it can be customized. Emails and texts won’t be sent to customers during the middle of the night.

Assigning Resources to Tracks

You can now drag a resource anywhere on the Schedule to assign the resource to a Track. We received a lot of feedback on this, as previously you had to drag a resource into only the “Resources” section in order for it to “stick.” Happy Scheduling! 😀

Mark a Job as Confirmed

On the Schedule page, you can mark a Job as Confirmed. Previously, Jobs could only be “Confirmed” by customers. This new office-side functionality can help provide dispatchers and schedulers with additional reassurance that a Job is confirmed if customers aren’t able to confirm the Job (or confirm in some other way, like over the phone).

🤓 Back with more Chariot product updates! This is the first update from me (Amos), Chariot’s new Product Lead. Quick summary (highlights below ✨👇)

Already available to use!

  • Updated our Digital Estimates to better show the full estimated charge descriptions on rates on mobile screens (so users no longer have to horizontally scroll)
  • Added Tip breakdowns to the Time Worked by Movers reports
  • Ability to filter by Job Date, Creation Date or Booked At date for the following reports: Conversion Rate by Sales Owner, Booked/Forecasted Revenue, Booked/Forecasted Revenue by Month and Jobs by Source
  • Quickbooks sync can now automate class assignment, allowing you to specify the “Class” that you want Chariot Jobs (which sync to Quickbooks as Invoices) to sync to in QuickBooks. Classes are typically used to separate Invoices and Sales Receipts. In a moving company context, Classes can be used to categorize Invoices and their associated details by Location if there are multiple locations for a single company.

  • Sales Reps now get a notification when they are assigned as a sales owner on a Lead
  • Our Storage module is ready to use, including tools to organize storage job info, automated invoices and payments, and simplify tracking down what’s in your warehouse. ​
  • Chariot’s first offline-compatible Estimator App (intake and inventory screens for each lead/ job, photo uploads) is ready for use on iPads! Our Android App is still in beta.
  • And more from our previous update

Other small things:

  • Jobs in the mover schedule now list “Arrival at Customer” instead of “Arrival” to clarify that this time does not mean time at the warehouse/ yard.
  • Added JobID to full Job report export
  • Updated our Digital Estimates so that if there are no inventory items on a job, the inventory section hides automatically

We know that it’s important for you to track tips when you’re looking at your payroll data, much of which comes from Chariot. So, we made it easy to see tip information alongside your basic time-worked reports. We’ll have more on the Payroll front coming soon, stay tuned 😉.

Just go to Reporting > Movers > Reported Time Worked by Movers or Reporting > Movers > Time Worked by Mover and you’ll be able to see two new columns (Tips - Pro-Rated and Tips - Even Split) in these reports.

Tips - Even Split: calculates the tip evenly across movers on the job, regardless of time worked

Tips - Pro-Rated: calculates the tip share for the movers based on time worked

Filter Reports by "Booked At Date" and "Creation Date"

You are now able to slice a handful of reports by Booked At Date and Created At date (rather than just Last Move Date) to better understand your lead activity.

💡 How it works

Select a report (we’ve added these different filtering options to the following reports: Conversion Rate by Sales Owner, Booked/Forecasted Revenue, Booked/Forecasted Revenue by Month and Jobs by Source) and then “Filter By” and you’ll see the new options.

Booked At: will include data for Jobs that were Booked within this date range

Created At: will include data for Leads/Jobs that were created within this date range

Moves are stressful for your customers – we want to do everything we can to help you provide them with a great experience. This was a small piece of feedback but one we received quite often, and we’re happy to introduce a small change which helps prevent confusion when customers are reading digital estimates.

The Description for a Charge is now consolidated into one column containing a Charge + Description so that users can see the full rate and total information without needing to scroll.
